Technology Systems & Data Privacy
Peas in a Pod operates a fully integrated technology ecosystem. Your ability to use these systems effectively is a core competency of your role. Your obligation to protect the data within them is a legal and ethical requirement.
Our Technology Stack
Brightwheel: Daily operations, attendance, parent communication, incident documentation, billing
Gusto: HR management, payroll, benefits, time tracking, onboarding documents
GoHighLevel: Family marketing, enrollment pipeline, parent follow-up automation
Wix Staff Portal: Training resources, policy documents, staff communications (this platform)
Data Privacy Obligations
Every piece of information about the children and families in our care is confidential. This includes names, photos, addresses, health information, family situations, and any other personal data.
Never share child or family information with unauthorized persons
Never post photos of children on personal social media — ever
Photos shared with families via Brightwheel are for family use only
Child records may only be shared with authorized persons listed in Brightwheel
Any data breach or unauthorized disclosure must be reported to the Director immediately
Social Media Policy
"Your personal social media is your business. But the moment Peas in a Pod, our children, or our families appear in it — it becomes our business. When in doubt, do not post."
Staff may not post photos of children, families, or confidential facility information on any personal social media platform. Violations of this policy are grounds for immediate termination.
Password and Account Security
Never share your Brightwheel or Gusto login credentials
Log out of all systems when leaving a shared device
Report any suspected unauthorized access to the Director immediately
Use strong, unique passwords for all work-related accounts
