Family Engagement & Parent Communication
The families who trust us with their children are not our customers. They are our partners. The relationship we build with each family is as important as the education we provide to each child.
The Family Partnership Model
At Peas in a Pod, we believe that children thrive when their school and their home are aligned. Our job is to build that alignment through consistent, meaningful, and respectful communication.
Communication Standards
Daily Brightwheel updates — minimum 2 per child (photos, activities, meals)
Weekly classroom newsletter — sent every Friday via Brightwheel
Monthly developmental progress summary — shared with each family
Quarterly parent-teacher conferences — scheduled through the Director
Immediate notification for any incident, illness, or behavioral concern
Difficult Conversations
Not every conversation with a parent will be easy. When you need to share a concern — behavioral, developmental, or otherwise — follow this protocol:
Schedule a private conversation — never discuss concerns in front of other parents or children
Lead with a positive observation before sharing the concern
Use specific, observable language — describe what you saw, not what you concluded
Offer a collaborative solution — 'Here is what we are doing, and here is how you can help at home'
Document the conversation in Brightwheel
If the conversation escalates, involve your Director immediately
GoHighLevel: Family Marketing & Enrollment
GoHighLevel is our marketing and enrollment management platform. When prospective families inquire about enrollment, their information enters our GoHighLevel pipeline. Staff should never discuss enrollment availability without first checking with the Director — all enrollment communications are managed through GoHighLevel.
